Job Description

Thompson Coe, an Insurance Defense law firm, is seeking a full-time Litigation Legal Secretary. Qualified candidates will have the following knowledge, skills and abilities:

  • Provides administrative support to litigation attorneys in the practice of law.
  • Assists in preparing for hearings, trials, mediation, arbitration, depositions, meetings, etc. in a fast-paced, high volume litigation practice.
  • Maintains, organizes, and manages electronic and paper client files.
  • Knowledge of state and federal litigation deadlines - Dockets/calendars deadlines.
  • Exercises discretion and maintains information of a confidential nature.
  • Experience using a document management system; preferably iManage.
  • Ability to E-file in State and Federal court.
  • Assist with travel arrangements and process expense reimbursements.
  • Maintain attorney calendars.
  • Open new client/matter files, request conflict checks.
  • Complete check requests/tracking.
  • Assist with timekeeping.
  • Superior written and communication skills.
  • Handles multiple tasks simultaneously.
  • Works occasional overtime, as needed.
  • Adhere to Firm policies and procedures as outlined in the Firm Handbooks.
  • Other duties as assigned.

Qualifications:

  • Five (5) plus years of recent litigation experience in a law firm; preferably insurance defense.
  • Advanced knowledge of the litigation process; rules of procedure; excellent litigation, secretarial, grammar, and proofreading skills.
  • High proficiency in MS Office Suite.
  • Ability to operate standard office equipment.
  • Ability to turn constructive feedback into best practices for future use.
  • Ability to adapt to change and new technology.
  • Ability to communicate professionally and effectively with co-workers, clients, courts and opposing counsel and be proactive about seeking clarification of ambiguities.
  • Ability to read and understand attorney mail and email.
  • Ability to work positively within a team environment.
  • Typing speed of 65+ words per minute.
