Office Administrator

Job Summary

The Office Administrator will oversee the office's general administrative functions and activities.

Supervisory Responsibilities

  • Oversees the daily working activities of the office

Duties/Responsibilities

  • Performs or facilitates maintenance of office equipment, including cleaning, maintenance, and repairs
  • Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents
  • Maintains inventory of office supplies; orders new supplies as needed
  • Maintains office files; implements an efficient system for other staff to access files and records
  • Performs other related duties as assigned
  • Employee event planning

Key Responsibilities

Office Operations:

  • Manage day-to-day office operations and procedures to ensure efficiency
  • Oversee the maintenance of office equipment, supplies, and the workspace environment
  • Ensure that office areas are clean, organized, and well-maintained

Administrative Support:

  • Provide administrative support to senior management and staff as needed
  • Prepare and organize meetings, appointments, and company events
  • Coordinate travel arrangements and accommodations for staff as required

Inventory Management:

  • Order and maintain inventory of office supplies and equipment
  • Monitor and track budget and expenses for office operations

Communication & Coordination:

  • Act as the first point of contact for visitors and external partners
  • Coordinate internal communication to ensure staff is informed of key developments
  • Handle incoming and outgoing mail, packages, and deliveries

Technology Management:

  • Oversee the setup and maintenance of office technology systems (computers, phones, software)
  • Troubleshoot minor technical issues and liaise with IT support as needed

Health & Safety:

  • Ensure compliance with health and safety regulations within the office
  • Conduct regular checks to ensure the office environment is safe and meets legal requirements
  • Safety Coordinator for the building- Fire Drills (yearly)

Event Planning:

  • Organize company events, meetings, and team-building activities

Required Skills/Abilities

  • Ability to type at least 60 words per minute
  • Extensive knowledge of office management procedures
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Proficient with Microsoft Office Suite or related software

Education and Experience

  • A high school diploma or equivalent is required; an associate’s degree in office administration or a related field is preferred
  • At least three years of administrative and clerical experience required

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 40 pounds at times
