Job Description

We’re looking for a highly organized, reliable, thoughtful, and considerate individual who will support the administrative needs of Jolen Operating Company which also includes the needs of the private family office. The ideal individual will provide support for daily office needs as well as the general administrative activities of the office. 

RESPONSIBILITIES

· Manage day-to-day administrative responsibilities

o Receive, sort, scan, name, file, and distribute daily mail

o Answer phones and greet visitors

o Order and maintain office and kitchen supplies

o Run errands outside the office, such as the bank, post office, supply stores, etc.

o Any other duties as they may arise

· Maintain digital and paper filing system

· Track and organize storage for electronic files as well as hard copy files kept both on-site and at an outside storage facility.

· Compose and prepare confidential and sensitive correspondence

· Primary contact with building management and maintenance

· Perform data entry when necessary

· Assist with any request from family members and other Jolen team members with a high level of professionalism and promptness

· Special projects as they arise

KNOWLEDGE / SKILLS

· Excellent organizational skills

· Strong written and verbal communication skills

· Strong knowledge of Microsoft Office products, especially Excel and Word

· Knowledge and understanding, or ability to learn digital productivity tools such as LastPass, ShareFile, DocuSign, Smartsheet, etc.

· Ability to complete work in a timely manner

· Ability to multitask

REQUIREMENTS

· Must be reliable and demonstrate dependability through good attendance and adherence to timelines and schedules

· Self-driven and flexible with an ability to work both independently and in a team environment

· Work is 100% on-site in downtown Oklahoma City

COMPENSATION

· $40,000-$55,000 commensurate with experience

· Includes health insurance, 401(k), paid time off, and more
